Practice operations · checklist
Run a weekly owner review
Set aside 30 minutes to clear loose ends, review the few numbers and decisions that matter, choose the next week’s priorities, and give anything unresolved a named home.
Understand the work
Before the checklist
What this work is really for
Ownership creates a second job made of decisions, follow-ups, and small risks that do not fit neatly between appointments. A weekly review gives that work a container so it does not have to remain mentally open all week.
If you are new to ownership
Your review does not need a dashboard. Begin with the calendar, money-moving administrative items, open decisions, vendor or source reminders, and the next three owner actions.
If you already run a practice
Use the review to notice patterns: the same interruption, approval, handoff, or missing number appearing week after week is probably a system problem, not a personal productivity problem.

Immediate actions
Get oriented before doing the work.
- Give ownership work a recurring time and place.
- Review patterns and decisions, not client-level information.
- End with three priorities rather than carrying an unlimited list forward.
Make sure this fits
Use this for generic ownership and administrative follow-up that can be reviewed without client, clinical, or sensitive personnel details.
Pause when
- The meeting is being used for clinical review, personnel investigation, emergency response, compliance determination, or detailed financial advice.
Gather before you begin
- One trusted place for owner tasks
- Access to the administrative calendar and decision log
- A recurring weekly appointment
Expected output
- A cleared owner inbox, an updated operating snapshot, and three priorities for the next week
A regular reset reduces the cognitive load of remembering unfinished work and makes recurring friction visible enough to improve.
Do the work
Guided process
Work through it, one decision at a time.
- 01
Close the week before planning the next one
Pause or get help whenMove any item containing sensitive details into the practice’s approved system rather than the review notes.
- 02
Close or carry forward prior priorities
Pause or get help whenAfter a missed week, begin with the current list and label older evidence unknown rather than reconstructing it.
- 03
Scan the operating picture
Pause or get help whenDo not infer clinical quality, compliance, financial health, workforce conclusions, or billing correctness.
- 04
Route friction and consequential unknowns
Pause or get help whenUse the approved response path immediately for safety, privacy, security, records, employment, billing, or legal matters that cannot wait.
- 05
Place the next three priorities
Pause or get help whenBreak down work with no finish, owner, first step, or decision question.
Finish well
Adapt, record, review
Leave a useful trail for the next person.
If your situation is different
- Co-owners can complete individual reviews first and use a shorter shared review for decisions that cross roles.
What good looks like
- Captured items have been processed
- The operating snapshot contains no client or sensitive personnel details
- Open decisions and reminders have owners
- No more than three owner priorities are selected
