Build a recurring administrative calendar
Collect the recurring work that keeps the practice running, group it by cadence, assign one accountable owner, and schedule preparation time before the real deadline.
Understand the work
Before the checklist
What this work is really for
A deadline is rarely just a date. Someone has to notice it, find the current instructions, gather what is needed, make a decision, and leave enough time to recover from a problem. The calendar should hold that whole runway.
If you are new to ownership
Build the first version from what you already know, then add verified dates as research is completed. An explicit unknown is safer than a confident but unverified reminder.
If you already run a practice
Look backward through the last year for rushes, late renewals, repeated vendor tasks, and reviews that depended on one person remembering. Those are the best candidates for the calendar.
Start here
Immediate actions
Get oriented before doing the work.
- Schedule preparation, not only the final deadline.
- Attach the source or evidence used to set each date.
- Use an owner and backup instead of relying on a shared reminder alone.
Make sure this fits
Use this to organize verified non-client administrative dates, review cycles, vendor events, and internal operating routines.
Pause when
- A date or requirement has not been verified from the appropriate source or needs legal, licensing, tax, payer, employment, or other qualified interpretation.
Gather before you begin
- Existing calendars and renewal notices
- Current vendor and source lists
- Named owners for the operating areas in scope
Expected output
- A recurring calendar with due dates, preparation windows, owners, sources, dependencies, and completion evidence
Recurring work becomes much easier to manage when the owner, evidence, lead time, and completion record are visible before the due date arrives.
Do the work
Guided process
Work through it, one decision at a time.
- 01
Collect recurring work from real evidence
Pause or get help whenMark unverified dates as research needed; do not turn an estimate into an official deadline.
- 02
Build the preparation runway
Pause or get help whenAsk a qualified reviewer to verify consequential timing or applicability before relying on it.
- 03
Reconcile and close the loop
Pause or get help whenRoute source changes through review rather than silently moving a regulated deadline.
Finish well
Adapt, record, review
Leave a useful trail for the next person.
If your situation is different
- Solo practices can use one calendar but should still distinguish owner, source, vendor, and qualified-review responsibilities.
What good looks like
- Every item has an owner, source, and preparation start
- Unknown dates are visibly unverified
- Completed work has a safe evidence location
- The calendar has a monthly reconciliation owner

Common mistakes
- Recording only a due date, copying last year’s date without verification, or assuming a calendar notification equals ownership.
